How do I export actions to CSV?

You can export your actions from Notify as CSV files. CSV files open in Microsoft Excel, Google Sheets, or any spreadsheet tool.

Firstly, you will need to login to your Notify account, you can do this here

1. Click on the Actions tab

ACTION_KBASE040324

2. Optionally apply filters to narrow down the data you are exporting

The export includes only the actions that match your current filters. By default, the Actions page shows To Do and In Progress actions, so widen the status filter first if you also want Done or Can't Do actions in your export.

3. Click Export

Click the Export button, then choose one of the two options:

Option A: Exporting to CSV:

  • All action data will be exported into a CSV file (except images and attachments). This includes every field on each action, such as description, status, priority, assignee, dates, notes, and root cause.

Option B: Exporting List to CSV:

  • The action data you see here on the Actions tab will be exported into a CSV file. This includes just the columns shown on the list, for the same filtered actions.

Once you have made a selection, the incidents data will then be downloaded to your device.

 What happens next

  • The file is downloaded by your browser, so look in your browser's downloads.
  • Export To CSV gives you a file named like actions_export_ followed by the date and time, ending in .csv. Export List To CSV gives you a file named like Action_List_Export_ followed by the date and time, ending in .csv.
  • CSV files open in Microsoft Excel, Google Sheets, or any spreadsheet tool. Double click the file to open it in your default spreadsheet tool.

Troubleshooting

  • I cannot see the Export button: your permission group does not include the "Can Export Actions To Csv" permission. Ask your Notify administrator to add it.
  • Completed actions are missing from my export: by default the Actions page shows To Do and In Progress actions only. Change the status filter to include Done and Can't Do actions, then export again.
  • Some actions are missing from my export: the export includes only the actions that match your current filters and the actions you have permission to view. Clear or widen your filters and export again.
  • Images and attachments are not in the file: this is by design. Exports never include images or attachments. Open the action in Notify to view them.
  • A very large export looks incomplete: an export includes up to 100,000 actions. Use filters to export in smaller batches, for example one date range at a time.
