Confidential Incident Enhancements

To help businesses comply with GDPR regulations, we are enhancing our Incident Management confidentiality features. These improvements will enable more precise flagging of confidential records, including through automation. Additionally, we are introducing stricter user restrictions which are managed through our user permission groups. This ensures that only authorised users can access and manage confidential data.

  • Confidential Incidents > Ability to auto flag Incidents as Confidential based on a response to Global List selection
  • Confidential Incidents > Ability to set Incident as Confidential based on response to Yes / No questions

We've enhanced our Incident Workflow capabilities to allow system users to automatically flag incidents as confidential based on responses to specific Global List selections and Yes/No questions. This feature ensures sensitive information is handled with the utmost care, improving privacy and compliance.

Why This Matters?

Imagine a scenario where an incident report includes a question like, "Is any personal identifiable information being submitted as part of this report?" If the respondent answers "Yes," the system will now automatically flag the incident as confidential. This automation helps protect sensitive data and ensures that it receives the appropriate level of security and attention from the outset.

By implementing this feature, we not only enhance data privacy but also streamline the process for users, making it easier to comply with regulations and internal policies. This is particularly crucial for industries where handling sensitive information is a daily responsibility.

“Confidential Department Incident Manager” User Group

We have introduced a new permission group, Confidential Department Incident Manager, that grants authorisation to manage confidential records associated with a specific department. This enhancement ensures that designated users can access and manage the necessary information while maintaining strict control over confidential data.

Confidential Incident Department Manager Permission

Example:
Imagine a construction company where a major accident is reported on a building site and is automatically set to confidential. With this new permission group, only authorised users linked to that site can access and manage the (confidential) accident report. This ensures that sensitive information about the incident, such as the details of the individuals involved and the circumstances of the accident, remains confidential and is only accessible to those responsible for handling safety and compliance matters.

User Management > Department/Restricted Department Incident Managers can Flag as Confidential

We have expanded the authority of the Department Incident Manager and Restricted Department Incident Manager permission groups by adding a new permission claim. This enhancement allows these managers to manually designate records as confidential, ensuring sensitive information is securely managed.

Incident Type Restrictions

We are excited to announce an enhancement to our Incident Management Module that allows customers to control what incident data is available to authorised users based on incident type. This new feature ensures that sensitive information is only accessible to the appropriate personnel, enhancing both security and operational efficiency.

For example, if an incident is categorised as a Quality issue, only quality managers will have access to these records. This targeted access control helps maintain the confidentiality of sensitive information and ensures that only relevant departments can view and manage specific types of incidents. By providing more precise control over data visibility, we are helping our customers streamline their incident management processes and adhere to privacy and security protocols more effectively.

User Management > Restricting Users to specific Incident Types

As a User Administrator, you now have the ability to restrict users by incident type when creating or editing a user profile. This enhancement ensures that access to sensitive data is appropriately controlled, supporting your efforts to adhere to GDPR regulations and maintain the highest standards of data confidentiality and security.
