1. Notify Spark
Notify Spark is an AI powered companion that automatically transforms your incident and/or investigation data into instant, high-quality insights. Using advanced language models and data directly from incident reports and investigations, Spark automatically generates content across five structured sections; Summaries, Safety Briefings, Executive Briefings, Root Causes & Insights, and Toolbox Talks.
Each section is designed to support users with clear, professional wording that can be reviewed, refined, and shared, saving time while improving the quality and consistency of reporting.

Identifies underlying causes and contributing factors using contextual data from reports and investigations, helping H&S teams target root issues instead of surface symptoms.

Generates a ready-to-use discussion guide that turns real incidents into structured learning sessions, helping teams build awareness, share insights, and prevent future occurrences
For instance, if you’re preparing RAMS for a high-risk task where the contractor requires a Cover Sheet, you can now add it directly within Notify. When you export the RAMS, the Cover Sheet is automatically placed at the front, presented exactly how the your client expects, so your documentation is compliant and avoids delays on site.
How can Notify Spark be used?
For example, following an incident involving a hand injury, the site manager runs Notify Spark to generate a complete response pack. Spark produces a concise Summary for record-keeping, a Safety Briefing for team discussion, an Executive Briefing highlighting key impacts, Root Cause & Insights to guide corrective actions, and a Toolbox Talk to prevent similar incidents. The manager reviews and adjusts the content as needed, reducing admin time and helping the team focus on learning and prevention.
2. URL-based document access
Each Published document in Notify’s Document Management module now has its own share setting. When enabled, this generates a URL that can be shared with workers and contractors who don’t hold a Notify account. Depending on the chosen setting, documents can either be opened directly through the link (public access) or require entry of a company code (restricted access).
These links open a web page showing document details and provide direct access to view or download the file. QR codes are also be generated for each link, making it simple for workers to scan and access documents on site or distribute links via email etc.
This update ensures documents such as policies, SOPs, OEM manuals, and Safe Systems of Work are available on demand to everyone who needs them, supporting ISO 45001 compliance and removing the need for external workarounds.
How can URL-based document access be used?
For example, a site supervisor needs to share updated Safe Operating Procedures with contractors working on-site. Instead of exporting and emailing the documents, they set a shareable URL directly from Notify. The link opens a web page where contractors can view or download the file instantly. To maintain control, the supervisor can choose to restrict access behind a company code; ensuring that only authorised personnel can open the document. This secure, controlled sharing method helps teams stay compliant with ISO 45001 while protecting sensitive information.
3. Organisation structure brand logo's
You can now upload brand-specific logos at organisation structure level, allowing each business unit or division to display the correct logo on exports and documents. This update supports customers with multiple brands or subsidiaries by ensuring that all documents reflect the right identity automatically. It improves professionalism, maintains brand consistency across outputs, and removes the need for manual logo changes outside Notify.
How can organisation brand structure logo's be used?
For example, a company operating under two brands; “ABC Manufacturing” and “SafeBuild Services”. With organisation-level logos, each brand can now upload and display its own logo across exports. When users generate a report or RAMS pack from SafeBuild Services, it automatically shows the SafeBuild logo, while ABC Manufacturing documents display theirs. This keeps branding consistent across business units and removes the need to manually swap logos before sharing documents.
Feature Improvements
1. Department Incident Manager (Read-Only)
This update introduces a new permission level allowing department managers to view incidents within their department without edit rights. It gives managers the visibility they need to monitor safety performance, support investigations, and stay informed; all while protecting data integrity and maintaining compliance.
How can read only departmental incident manager permissions be used?
For example, a department manager overseeing maintenance needs to review all incidents reported within their team. With Read Only access, they can now open and review incident records without being able to edit or change data. This gives managers the visibility they need to monitor safety performance and follow up on open actions, while protecting data integrity and maintaining compliance.
2. Improved control over translations
You can now choose how translations are applied to form templates and global lists; either translating only the fields you’ve edited or re-translating the entire form or list. This gives users more control, reduces rework, and prevents overwriting accurate translations. It ensures multilingual content stays consistent and relevant across updates, making it easier for global teams to maintain accuracy and save time when managing changes.
How can auto form translations be used?
For example, a Health & Safety manager updates a Machine Inspection Form by adding a new field called “Protective Guard Condition.” Instead of re-translating the whole form, they select “Translate Edited Fields Only”, ensuring all existing translations stay intact. The new field is instantly translated into supported languages, saving time and maintaining consistent terminology for global teams.
3. Searchable content for Risk Assessments
You can now search within the content of Risk Assessment records, not just their titles. This includes fields such as What is the Hazard?, Who Might Be Harmed?, How Might They Be Harmed?, and Risk Controls. The improvement makes it faster to locate relevant assessments, identify recurring hazards, and prepare for audits or compliance reviews, saving time and improving accuracy across your safety documentation.
How can searchable content for Risk Assessments be used?
For example, a site manager searches for “contractors” and instantly finds all Risk Assessments where contractors are listed under Who Might Be Harmed?. This helps them quickly confirm which activities pose risks to contractors and ensure the right controls are in place before work begins.
4. Distinguish between multiple tabs
Each browser tab in Notify now displays the record ID and its related module. This makes it easier to distinguish between multiple open tabs, as users can see exactly which record they are working on before clicking.
For example, tabs will show titles such as 1234 | Incident Management or 5678 | Audits and Inspections, instead of several tabs all appearing the same. This update reduces confusion, saves time switching between pages, and lowers the risk of making changes in the wrong record.
5. Public API - custom flags
The API now includes all custom flags configured for incidents, even if they haven’t been automatically set. This means customers can now identify every possible flag available in their system and use these to manually set or manage incident flags through their own reporting or dashboard tools.
For example, when using the API to build a Power BI dashboard showing all incidents marked with custom flags such as Hospitalisation or Insurance Claim. With this update, their dashboard can now also display custom flags that exist but haven’t been set yet, allowing users to see all available flag options and apply them manually as part of their reporting or review process..
Housekeeping
At Notify we call this ‘keeping our lights on!!'. Essentially this is about good housekeeping to ensure the infrastructure, code, third party components and the plumbing we use is maintained, secure and in good working order.
Scheduled downtime
We are really looking forward to delivering this version to you. There will be scheduled period of downtime on the evening of Wednesday 22nd October to allow us to introduce these new features into Notify. We will endeavour to keep any disruption to a minimum.
